QI reconciliations — 1042-S ↔ 1042 ↔ GL (method & templates)
A clean QI reconciliation proves that 1042-S totals roll to Form 1042 and Form 1042 ties to the GL. Use this method, variance thresholds, and the templates below to generate reviewer-ready evidence.
Scope: 1042-S creation (pools/rates), roll-up to Form 1042 schedules, and tie-out to GL.
Includes corrections handling and receipt evidence (FIRE).
1) The three-bridge method
- 1042-S → 1042 (Schedule map): roll up by income code, chapter, rate/pool to the appropriate 1042 lines.
- Adjustments: post close corrections, timing, immaterial rounding — document explicitly.
- 1042 → GL: tie tax payables/expense to GL balances (period/YTD); note FX policy.
2) Variance thresholds & sign-offs
- Gross variance: set a numeric threshold (e.g., USD 100) per income code/line.
- Tax variance: tighter threshold (e.g., USD 25) due to rounding and small timing items.
- Counts: track 1042-S record counts vs schedule lines to spot pooling/mapping issues.
- Sign-offs: maker checks, Tax Lead approves; store dated approvals with the pack.

4) Evidence pack — what to keep

- Approvals & sign-offs (maker/checker) stored next to the pack.
